Executive Assistant to the ED

The Executive Assistant provides high-level administrative and organizational support to the Executive Director, serving as a trusted partner who anticipates administrative needs, maintains confidentiality, and helps ensure the efficient operation of the Executive Office. Working closely with leadership, the Board of Directors, and the Development team, this position manages the Executive Director's workflow, coordinates Board activities, prepares correspondence and reports, maintains executive records, and supports fundraising and organizational initiatives to advance the organization's mission.

Key Responsibilities

  • Assist the Executive Director with calendar, appointments, meetings, travel arrangements, and correspondence management.

  • Prepare, edit, and proofread reports, presentations, meeting agendas, and executive communications.

  • Maintain a master calendar of organizational deadlines, including Board meetings, grant reporting, and compliance requirements.

  • Coordinate Board of Directors and committee meetings, including board packets, minutes, and logistics; support board governance initiatives and Open Meetings Act (OMA) compliance.

  • Maintain confidential executive records, organizational files, and Board documentation.

  • Coordinate compliance-related logistics, including accreditation visits, charter authorizer requirements, and organizational filings.

  • Support grant administration, donor acknowledgment letters, and CSC/OSSE reimbursement billing procedures.

  • Assist with fundraising initiatives, including the end-of-year giving campaign and other campaign and event logistics.

  • Proofread newsletters, annual reports, presentations, social media posts, and other communications; update website content as directed.

  • Coordinate invitations, RSVPs, and logistics for fundraising and community engagement events.

  • Perform other administrative duties as assigned by the Executive Director.

QUALIFICATIONS

Successful candidates will possess the following qualifications:

  • Bachelor's degree.

  • 1–3 years of administrative support experience at the executive level.

  • Excellent written and oral communication skills, with strong interpersonal skills and the ability to build positive working relationships.

  • Excellent organizational and time-management skills, with the ability to multitask, prioritize competing demands, work independently, and meet deadlines.

  • Strong attention to detail and accuracy.

  • Demonstrated professionalism, sound judgment, and ability to maintain confidentiality.

  • Proficiency in Microsoft Office, Google Workspace, Zoom, and Adobe Acrobat; ability to learn donor databases and organizational software such as Quickbase, Network for Good, and SharePoint.

  • Native or native-level fluency in English required. Spanish language skills are a plus but not required.

Preferred

  • Experience in a nonprofit organization, school, or mission-driven environment.

  • Experience supporting Board of Directors meetings.

  • Familiarity with fundraising or donor stewardship activities.

  • Familiarity with OSSE or other state/district processes.
